One of the great features of Microsoft OneNote is the ability to collaborate on notebooks between multiple people and devices and setting up this feature on Windows Phone is actually simple. In this how to Windows Phone article we will show you how.
Some Background Info
I hope that by now you have seen the Windows Phone 7 commercial where the father is shopping and checking OneNote Mobile on his phone for the grocery list. While he is checking the list more items start to pop up on the list leading the father to realize that his kids are mischievously adding to the list. The commercial is a funny look into an awesome capability of having Office on your Phone, Internet and your Desktop all connected together via the cloud.
Create A New Notebook
Login to SkyDrive by going to office.live.com.
Browse to the location or create a new folder on SkyDrive where you want to create your new Notebook.
Click on the OneNote Icon at the top of the screen to create a new Notebook.
Once You Click the Icon you will then need to name your new OneNote Notebook. Give it a name and hit create.
Once you hit create, the browser will load your new notebook. Hit back on the browser to see the notebook in the folder as opposed to editing the notebook.
How To Share The Notebook With Others
Now that the notebook is created it is time to share the notebook with other Windows Phone 7 users.
Right click on the new notebook and click Share.
Next, type in the email address of the person you want to share the notebook with and determine the level of security you want at the bottom of the box. This section will email the user a link to the notebook. As an alternative, you can also use the Get a link tab and just send the provided link on your own.
Once the notebook is shared, you will see the people you shared it with on the right hand side of the screen and you can also remove and change their permissions from that location as well.
You now have shared the notebook another device and the user should be able to open the notebook on Windows Phone 7, the web, or the desktop version of OneNote.
What Happens On Your Windows Phone
When you open up Office then OneNote on your phone, you will first see the current notebooks that you have. OneNote Mobile will begin synchronizing with SkyDrive and soon you will see your new notebook listed.
What Happens On Their Windows Phone
The person you shared the Notebook with should receive an email with instructions to click a link. Clicking the link on a Windows Phone 7 device launches OneNote on the phone right into a view of the notebook and the current sections.
In the image below you can see the list of notebooks before the WinGadgetNews notebook was added and after.
Now that he notebook is shared edits to the notebook will be synced to all shared users just like on the Windows Phone 7 commercial. As an added step you can even manage the notebook on your PC running the full desktop version of OneNote.
